1. Who we are
The business identified above is the controller of personal data collected through this website, our chat, Telegram, email and phone, and when we arrange shipments. This policy is written to meet the EU General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”), the Czech Act No. 110/2019 Coll. on the processing of personal data and, for people in the United Kingdom, the UK GDPR.
2. Information we collect
Information you give us
- Personal accounts: name, email, phone, country of residence, delivery address, a description of what you are sending and, if you choose to give it, an ID or passport number.
- Company accounts: your name, role, email and phone, plus company name, registration number, VAT or tax ID, country and address of registration, industry, cargo, routes and expected volumes.
- Enquiries and chat: your name, contact details and anything you write to us through the website chat, Telegram, email or phone. The website chat is first answered by an automated AI assistant; if you choose to send the chat to our team, a person reads it.
- Shipments: shipper, consignee and notify-party details, cargo descriptions, values, commercial invoices, packing lists, permits and customs information.
- Payments: invoice and payment records. We do not store full card numbers.
Information collected automatically
- Technical data that your browser sends when you load the site, such as your IP address and device type, which our hosting provider and font provider receive.
- Your current chat conversation, kept in your browser's session storage until you close the tab (see section 8).
Information from others
Carriers, agents and customs authorities give us tracking and clearance information. We may check names against public company registers and sanctions lists.
3. How we use it and our lawful bases
| Purpose | Data used | Lawful basis (GDPR Art. 6) |
|---|---|---|
| Answering enquiries and preparing quotes | Contact details, enquiry content | Steps you asked for before a contract (6(1)(b)) |
| Opening and managing your account | Account details | Contract (6(1)(b)) |
| Booking, shipping, tracking and delivering cargo | Shipment and contact details | Contract (6(1)(b)) |
| Customs declarations and transport documents | Shipment details, ID or company numbers | Contract (6(1)(b)) and legal obligation (6(1)(c)) |
| Sanctions, export-control and fraud checks | Names, company details, routes, goods | Legal obligation (6(1)(c)) and legitimate interests in lawful trading (6(1)(f)) |
| Invoicing, accounting and tax records | Billing and payment records | Legal obligation (6(1)(c)) |
| Service updates about your shipments | Contact details | Contract (6(1)(b)) |
| Occasional news about our routes (business contacts) | Name, email | Legitimate interests (6(1)(f)). You can opt out at any time. |
| Website security and improvement | Technical data | Legitimate interests (6(1)(f)) |
| Legal claims | Any relevant data | Legitimate interests (6(1)(f)) |
We do not use automated decision-making that has legal or similarly significant effects on you.
4. Identity documents
An ID or passport number is optional when you open a personal account. We may need it later because some customs authorities and carriers require it for personal shipments. We use it only for that shipment and for the legal checks in section 3, and we limit access to it.
5. Who we share it with
We share only what each recipient needs:
- shipping lines, airlines, hauliers, port agents and customs brokers that carry or clear your goods;
- customs, tax and port authorities in origin, transit and destination countries;
- insurers, if you ask us to arrange cover;
- service providers who process data for us, such as website hosting and form handling (Netlify), the AI model provider that generates chat replies, and email, messaging and accounting tools, under contracts that protect your data;
- professional advisers, banks and payment providers;
- law enforcement or regulators when the law requires it.
If you contact us on Telegram, Telegram also processes your messages under its own privacy policy. We do not sell personal data.
6. International transfers
Shipping means sending data to the countries your goods pass through, including countries outside the EEA without an EU adequacy decision. Where a transfer is needed to perform the contract you asked for, we rely on that necessity (Art. 49(1)(b) GDPR). For our service providers we use EU adequacy decisions, including the EU–US Data Privacy Framework, or the European Commission’s Standard Contractual Clauses. Contact us for a copy of the relevant safeguards.
7. How long we keep it
| Data | Retention |
|---|---|
| Enquiries and chats that do not lead to a booking | 24 months from the last contact |
| Account requests that are declined or withdrawn | 12 months |
| Account, shipment, customs and invoice records | 6 years after the end of the financial year of the last shipment, or longer if a law or a claim requires it |
| ID or passport numbers | Deleted or redacted once the shipment and its clearance are complete, unless a law requires us to keep them |
8. Cookies and local storage
This website does not use advertising or analytics cookies. While you use the chat, the conversation is kept in your browser's session storage so it survives a page reload; it is deleted when you close the tab. This is strictly necessary for the service you asked for. Fonts are loaded from Google Fonts, which receives your IP address when the page loads.
9. Security
We use encrypted connections, access controls and reputable providers to protect personal data. No method of transmission is completely secure, so please do not send sensitive documents through channels we have not asked you to use.
10. Your rights
You have rights to access, correct, delete, restrict, object to and move your data, and to withdraw consent where we rely on it. See Your data rights (GDPR) for how to use them.
11. Children
Our services are not for people under 18, and we do not knowingly collect their data.
12. Changes
We may update this policy. The date at the end shows the latest version. We will tell account holders about material changes.
13. Contact and complaints
